Managing workflows at scale isn’t just about building automation—it’s about putting guardrails around who can build what with which data. With workflow step access management in Intellistack Streamline, admins and managers can now lock down which steps, integrations, and field types builder users can access and use—either account-wide or project-specific. This feature empowers teams to enforce governance, reduce errors, and streamline the builder experience.
What admins and managers can now manage
Admin and manager users within Intellistack Streamline can:
- Restrict which workflow step types builders can add or edit
- Limit which integrations are available in each project
- Control access to Sign-field types when designing workflows
Admins can set these restrictions globally and managers can tailor them to specific projects. Builders will see a lock icon on restricted items and won’t be able to use or edit them.

Roll out new functionality in stages to your users
When a new workflow step type—like “Extract data from files”—is released, although it’s a powerful new feature, it can be complex in unfamiliar environments. With these controls, admins can lock the new step from builders until the feature’s behavior is validated. Once approved, turning it on is as simple as flipping a switch—no rebuilding or re-auditing required.

Enforce integration best practices
Maybe your organization is standardizing on Microsoft 365. Workflow step access management lets you disable integrations like Dropbox or Google Drive while keeping OneDrive and SharePoint active. This helps enforce data-residency rules, reduce sprawl, and simplify support without micromanaging.

How to access the new controls
From the Projects page, or within a specific project, admins can open the access-controls panel. There are three tabs to set controls for:
- Step Types
- Integrations
- Sign Field Types

Uncheck items to restrict access. Once saved:
- Builders see locks next to restricted items in the builder



- Builders can’t add or edit those items
- Admins and managers still have full access

Workflow step access management aligns with the ANSI/INCITS 359-2012 RBAC standard and supports frameworks like NIST SP 800-53, SP 800-171, and Zero Trust. But their value goes beyond checking compliance boxes.
By limiting which users can access sensitive workflow steps, integrations, and data fields, organizations reduce the likelihood of:
